To set up meetings with one or more people in Gmail, use the âHelp me scheduleâ feature when you draft a message or reply. Based on you and your guestsâ availability, Gemini in Gmail generates a list of times when youâre all available.
Insert suggested times in a Gmail message
- On your computer, go to Gmail.
- Create or reply to an email with one or more recipients.
- At the bottom of your message, click Help me schedule
.
- If you canât find "Help me schedule," click More options
Help me schedule.
- If you canât find "Help me schedule," click More options
- Review the list of suggested times.
- At the bottom of the email, click Send.
Tips:
- A maximum of 20 guests can be added to a single schedule.
- The guest list isn't updated if the list of email recipients changes after the card is inserted. You need to re-insert the schedule.
Update the suggested times card
- Hover over Edit in Calendar
.
- Select an option:
- Meeting duration: Change the length of the meeting.
- Time range: To search for available meeting times, update the time range.
- Change to text format: Send your meeting times as text instead of a suggestion card.
- More options: Insert a booking page from your appointment schedule.
Update suggested times based on guest calendars
You can manually review suggested times based on guest calendars.
- In the suggested times card, click Edit in Calendar
.
- In the âShare your availabilityâ window, you can:
- Check availability: You can check the availability of any guestâs calendar that you have access to.
- Change meeting duration: Change the length of the meeting.
- Add guest time zone: Include the guestâs time zone.
- Add or remove guests: On the right, add or remove your guests. Suggestions automatically update based on the new guest list.
- Review time slots: If calendars are busy, Gemini in Gmail can suggest a mix of times.
- If the time slots are green, all guests are available to meet.
- If the time slots are amber, thereâs a conflict for one or more guests. If this happens, a banner at the top of the window prompts you to manually select time slots. To make sure the chosen time works for your priority guests, review the calendar grid.
- At the bottom right, click Propose 4 times.
Book time on someone elseâs calendar
If you receive suggested times from someone else, you can book a time slot with them. Once booked, a Calendar event is created and all guests receive an event invitation.
- In the email, select a suggested time.
- On the âBook your preferred timeâ page, you can:
- Confirm the event time: If there are no conflicts with other guests, click Book time for all guests.
- Look for different times to meet: If there are conflicts, click View all times on calendar.
- In the window, select a new time slot.
